Confidentiality Policy
SEN Families Unite CIC respects the privacy and confidentiality of the children, young people, adults and families we work with. Information shared with us is treated sensitively and professionally.
Purpose
This policy explains how confidential information is handled by everyone acting for SEN Families Unite CIC, in line with UK GDPR, the Data Protection Act 2018 and our safeguarding obligations.
What constitutes confidential information
- Personal details, such as names, addresses and contact information
- Family circumstances
- Medical or SEND-related information
- Support discussions and session notes
- Safeguarding disclosures
Information sharing
Confidential information will not normally be shared without appropriate justification or the consent of the person concerned. Where sharing is appropriate, we share only what is necessary, with those who need to know, and we explain what we are doing wherever it is safe to do so.
Safeguarding exceptions
Confidentiality cannot be guaranteed where a child or adult may be at risk of harm. Where safeguarding, risk of harm or a legal obligation requires it, relevant information may be shared with the appropriate authorities without consent. We will always act in the best interests of the person at risk.
Storage of confidential information
Confidential information is stored securely, with access limited to those who need it. Digital records are held in password-protected systems and any physical records are kept securely. Information is retained only as long as necessary and then securely deleted or destroyed.
Policy review
This policy is reviewed periodically and updated when our practice, our services or the relevant law changes. Review and approval details are recorded internally by SEN Families Unite CIC and can be requested by emailing us.
